What is COD confirmation? Meaning, process and examples
By the COD Confirmation teamUpdated 2 min read
COD confirmation is the step where an online store checks that a customer really wants a cash-on-delivery order before shipping it. The store contacts the customer, usually with a WhatsApp message or a phone call, and the customer confirms or cancels. A “confirmed COD” order is one the customer has approved, so it can be shipped; unconfirmed orders are held, followed up or cancelled.
Key takeaways
- COD confirmation happens between the order and the shipment.
- A confirmed COD order is one the customer has explicitly approved.
- It exists because COD customers pay nothing upfront, so some orders are never collected.
- Most stores now confirm on WhatsApp, with calls as a follow-up.
COD confirmation, in one sentence
COD confirmation (short for cash-on-delivery order confirmation) means asking the customer to approve their order after they’ve placed it and before you ship it. It sits between checkout and fulfilment:
- The customer places an order and chooses cash on delivery.
- The store asks the customer to confirm, by WhatsApp, phone call or SMS.
- The customer confirms or cancels.
- The store ships confirmed orders and stops the rest before paying for shipping.
What “confirmed COD” means
A confirmed COD order is an order the customer has explicitly approved. Until then, the order is “pending confirmation”. Stores usually mark the status with an order tag or note, for example:
| Status | Meaning | What the store does |
|---|---|---|
| Pending confirmation | Order placed, customer hasn’t answered yet | Wait, send a reminder or call |
| Confirmed | Customer approved the order | Ship it |
| Cancelled by customer | Customer said no | Cancel and restock, no shipping cost |
| Unreachable | No answer after reminders and calls | Hold or cancel |
Why cash-on-delivery stores confirm orders
With prepaid orders, the payment proves intent. With COD there’s no payment until the courier arrives, so a share of orders never turns into money:
- customers who order on impulse and change their mind,
- wrong phone numbers or incomplete addresses,
- duplicate orders,
- pranks, competitors and spam.
Each of those orders costs shipping out, shipping back (RTO) and stock that sits in transit. Confirmation catches them before any of that money is spent. Read more in how to stop fake COD orders and how to reduce RTO.
How COD confirmation works today
There are three common ways to confirm, compared in detail in WhatsApp vs phone calls vs SMS:
- WhatsApp message. An automatic message with the order details and Confirm / Cancel buttons, sent seconds after the order. The reply updates the order automatically. This is now the default for most COD stores.
- Phone call. An agent calls the customer. Personal, but slow and expensive at scale. Best as a follow-up.
- SMS. Works on any phone, but replies are clunky and texts from unknown numbers are often ignored.

COD confirmation on Shopify
Shopify lets you accept cash on delivery, but it doesn’t ask customers to confirm. To add the step, you connect a WhatsApp confirmation app to your store: it messages every new COD order and tags the order from the reply, so your team only fulfils confirmed orders. The full walkthrough is in how to confirm COD orders on Shopify.
COD confirmation by country
Cash on delivery works differently from one market to the next: couriers, fees, address formats and the language customers expect. See our country guides, starting with Morocco, Egypt, Saudi Arabia and India.
